Project Requests

Your projects are important to us and we will evaluate every request that is submitted and work with your department to strategically market your area while also working to fulfill the overall mission of Columbia State.

We are most effective when we know how the project came to be, why it is a priority for your department and how it fits with the overall strategic plan of the college. We would be happy to work with you during the planning process so that we can help identify avenues of communication and make the best use of resources to obtain the best result for you. Types of Job Requests

Minor Requests

  1. Web Change Request
    Please allow a 24-hour lead time for all minor web changes and a one-week lead time for all requests for new pages.

  2. In-House Print Request - (No Changes)
    The Office of Communications requires a one-week lead time for all in-house printing requests. All publications will require the AA/EOE statement and publication number per policy 07:20:00.

    We have a full color high-speed Xerox printer for official college print jobs. This machine is capable of doing full-color prints (non-bleed), duplexing and half-page fold options. Using this machine will help ensure that the quality of printing is consistent with Columbia State's overall brand. 

    Please note: Specialty publications and projects needing large quantities may need to be outsourced to a commercial printer for best results and/or cost effectiveness. External vendor production time will apply.

  3. Event Promotion Request - Minor Event (Internal Promotion Only)
    The Office of Communications requires a two-week lead time for all minor event promotion requests.

  4. Design Request (Existing Design - Minor Changes)
    Request to update existing collateral piece, please allow a two-week lead time.

    External Printing: Please be advised that external printing will require additional production time to include printing and shipping. (On average an additional 10-14 business days.) Design work will not begin until a purchase requisition has been completed.

  5. News Release (Feature/News Story)
    Please allow 10 business days PRIOR to the date the release should go to the media. This will allow the department enough time to obtain accurate information, quotes, photos and to write the article.

  6. News Release (Post-Release)
    Please submit your request 10 business days before your event.
    The Communications department will send approved post-releases to the media within one week after receiving all required information and photos. The more information you can provide up front will better assist us in meeting this deadline.

  7. Digital Signage Request
    The Office of Communications requires a two-week lead time for all digital signage requests.

  8. Social Media Request
    The Office of Communications requires a two-week lead time for all social media requests. This will allow the department enough time to process the request and add it into the scheduled social media content calendar.

  9. Photography Request
    The Office of Communications requires a two-week notice for all photography requests.

  10. Tablecloth Reservation
    The Office of Communications requires a two-week notice for all reservations.

  11. Promotional Products Request
    A limited number of promotional products may be on-hand. Please review the Office of Communications Promotional Product Guideline prior to submitting a request.

    If you have an event that requires large quantities, you will need to order promotional products from your event or department budget. The Office of Communications requires a five-week lead time for all new orders. The Communications department will assist you with the ordering, artwork and proofing process. For new orders, please allow an estimated 10-14 business days for production and 3-5 days for shipping.


Major Requests

Please keep in mind that new projects take the longest to complete because they require creative planning, design and production time.

  1. Design Request (New/Redesign)
    The Office of Communications will follow up on your request to determine the complexity of the design and establish a production timeline. 

    External Printing: Please be advised that external printing will require additional production time to include printing and shipping. (On average an additional 10-14 business days.) Design work will not begin until a purchase requisition has been completed.
  2. Event Promotion Request- Event (Internal & External)
    The Office of Communications requires a minimum four-week lead time for external promotion. This will allow the department enough time to produce materials (digital signage, new releases, social media posts, etc.) and post via communication outlets 1-2 weeks prior to the event.

  3. Event Promotion Request- Major Event (Internal & External) 
    For major events, additional planning and promotion time is required. Please submit special events as early as possible for better planning and enhanced outcomes.

  4. Video Request
    This request form is to be added to the video production queue. The Office of Communications and the Media Services department will work together to identify the video priorities for the college and will work with requestors to identify a production timeline.

  5. New Program Marketing
    Please contact the Director of Communications to establish the timeline.
